Privacy Policy

This Privacy Policy describes how MapOps (“MapOps,” “we,” “us,” or “our”) collects, uses, and shares information when you use the MapOps website, configured workspaces, and related services (“Service”).

1. Information We Collect

Information you provide

  • Account information: Name, email address, company name, and role when you create an account, request access, or book a demo
  • Customer Data: CRM exports, customer and prospect records, territory assignments, notes, and other business data you upload or connect to the Service
  • Communications: Messages you send to us, including support requests, demo enquiries, and feedback

Information collected automatically

  • Usage data: Pages visited, features used, workspace activity, and timestamps
  • Device information: Browser type, operating system, and screen resolution
  • Log data: IP address, access times, and referring URLs

We do not use third-party advertising pixels. We use minimal analytics and operational logging to understand how the Service is used, maintain reliability, and improve it.

2. How We Use Your Information

We use the information we collect to:

  • Provide, operate, configure, and maintain the Service
  • Ingest, score, map, and present territory and account intelligence for your workspace
  • Respond to demo requests, support enquiries, and customer communications
  • Monitor and improve the Service's performance, security, and reliability
  • Detect and prevent fraud, abuse, or security incidents
  • Comply with legal obligations

3. Public and Third-Party Data Sources

To deliver territory intelligence, we may access and process publicly available regional data and third-party datasets lawfully accessible to us, such as government statistics, business registers, and mapping services. We combine these sources with your Customer Data only to provide the Service to you.

We do not sell your personal information or Customer Data. Where we use third-party infrastructure providers, they process data only as needed to perform their function on our behalf and under contractual confidentiality obligations.

4. How We Share Your Information

We do not sell your personal information or Customer Data. We share information only in these circumstances:

  • Service providers and sub-processors: We use third-party services to help operate the Service (hosting, databases, mapping, scheduling, and email). These providers access data only as needed to perform their function
  • Legal requirements: We may disclose information if required by law, regulation, or legal process. Where permitted, we will notify you before disclosure
  • Business transfers: In connection with a merger, acquisition, or sale of assets, your information may be transferred. We will notify you of any such change

Sub-processors

Current categories of sub-processors include:

  • Hosting and deployment infrastructure (for example, Vercel)
  • Database and authentication services used in configured workspaces (for example, Supabase)
  • Scheduling tools used for demo bookings (for example, Calendly)
  • Mapping and geospatial services used to render territory views

We enter into written agreements with each sub-processor requiring confidentiality obligations at least as protective as those in our Terms of Service. We remain responsible for our sub-processors' compliance with applicable privacy obligations. A current list is available upon written request.

5. Data Retention

We retain your Customer Data for as long as your account or engagement is active or as needed to provide the Service. You may request deletion of your data at any time (see Section 7 below). Upon deletion request, we will remove your Input Data, Output Data, and workspace records within 30 days, except:

  • copies retained in routine IT backups until those backups are overwritten in the ordinary course of business
  • copies retained to comply with legal, regulatory, or audit requirements
  • aggregated and de-identified data as permitted in our Terms of Service

We retain account information and usage logs for up to 12 months after account closure for legal compliance, billing, and fraud prevention purposes.

6. Data Security

We implement reasonable technical and organisational measures to protect your data, including encryption in transit (TLS), access controls, and regular security reviews. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

7. Your Rights

Depending on your jurisdiction, you may have the following rights:

  • Access: Request a copy of the personal information we hold about you
  • Correction: Request correction of inaccurate information
  • Deletion: Request deletion of your personal information and Customer Data
  • Portability: Request export of your data in a machine-readable format, where applicable
  • Objection: Object to processing of your personal information in certain circumstances

Australian residents

If you are located in Australia, we handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs), where applicable. You may lodge a complaint with the Office of the Australian Information Commissioner if you believe we have handled your personal information contrary to applicable law.

European residents

If you are located in the European Economic Area or United Kingdom, our legal basis for processing personal information is typically: (a) performance of a contract (providing the Service), (b) legitimate interests (improving and securing the Service), or (c) consent where required. You may have additional rights under the GDPR or UK GDPR.

8. International Data Transfers

Your data may be transferred to and processed in Australia, the United States, or other countries where our service providers operate. We use appropriate safeguards for international data transfers where required by applicable law.

9. Children's Privacy

The Service is not directed to children under 18. We do not knowingly collect personal information from children. If you believe we have collected information from a child, please contact us and we will delete it.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes at least 30 days before they take effect by posting the updated policy and updating the “Last updated” date. Continued use of the Service after the effective date constitutes acceptance.
